Workflow Manager
AIO Tests allows advanced users to perform custom actions before or after an activity takes place on the platform such as creation, deletion, updation or archiving. Whether you want to restrict a specific user from performing an action, receive notifications regarding an activity or automate certain actions, the platform lets you do it with the click of a button.
In this documentation, you’ll understand:
Steps to Create a Workflow
Step 1: To create a workflow, simply click on the Gear icon and select Project Settings from the drop-down menu.
Step 2: Click on the Workflow Manager option in the sidebar menu.
Step 3: Click on the Create Workflow button.
Step 4: In the Define Workflow Trigger section, enter the following details:
Name: Enter the name of the workflow
Hook: Select when the workflow will run.
Pre-Event: The hook will be executed before the activity takes place.
Post-Event: The hook will be executed after the activity takes place.
Entity: Select the object on which the rules will be applied.
For now, advanced users can select between Cases, Cycles and Batches.
● Event: Select the action on the selected entity that should trigger the workflow.
If you select Property Change, you would need to select the following:
Field: The property of the entity that should be checked for updates.
Action: The change to look for in the selected field.
For Property Change event, there are two entities that can hold conditions. Existing entity and New Entity, which can help users detect additional specific changes in the test.
Step 5: Once you have entered all the required details, click on the Next button.
Step 6: Click on the Add Condition button.
Adding a Condition is not Mandatory.
Once you click on the Add Condition button, New State Operator and Add New State Condition modal windows will appear.
Step 7: In the New State Operator section, select the desired Condition Mode.
All Conditions Match: All conditions have to occur for the workflow to trigger
Any Condition Match: Any of the set conditions has to occur for the workflow to trigger.
Step 8: In the Add New State Condition, enter the following details:
Field: Select the field on which the condition should be evaluated.
Condition: Choose how to compare the field value.
Value: Select one or more values to compare the field value to.
Step 9: Click on the Add button.
Step 10: Click on the Next button.
Step 11: In the Define Action section, enter the message that’ll be displayed when the workflow is triggered.
Step 12: Finally, click on the Create button.
Steps to Edit a Workflow
Step 1: To edit a workflow, all you need to do is click on the Gear icon and select Project Settings from the drop-down menu.
Step 2: Click on the Workflow Manager option in the sidebar menu.
Step 3: Click on the Pencil icon for the desired workflow.
Users can also click on the Toggle on/off button to Enable/Disable a Workflow.
Step 4: Edit the details as per your requirements.
Step 5: Finally, click on the Update button to save your changes.
Steps to Delete a Workflow
Step 1: To edit a workflow, all you need to do is click on the Gear icon and select Project Settings from the drop-down menu.
Step 2: Click on the Workflow Manager option in the sidebar menu.
Step 3: Click on the Trash Bin icon for the Workflow you want to delete.
Step 4: Once you click on the Trash Bin icon, Delete Workflow modal window will appear. Click on the Delete button.
