AIO Tests allows users to generate and send email notifications by tagging other users on a case or while executing a case (at run or step level). Tagging users will generate an email notification (given the preferences are set appropriately). Email notifications are sent automatically when a user is assigned to a case in a cycle and also when a user is set as the Automation Owner of a case.

Generating Email Notifications

On AIO Tests, users can generate email notifications by tagging other users in the Comments section on cases and cycles. Users can tag users by using the “@” symbol. There are 3 places from where email notifications will be generated if users are tagged.

Cases Detail Page

To send email notifications from the cases detail page, simply click on the Cases option in the top bar menu and select the desired cases from the Cases list. On the Cases detail page, click on the comments field and enter “@” to tag the user to whom you want to send the email notification. Once you enter the comment, click on the Post button. 

Cycles Execution Detail Page (at Run Level)

To send an email notification from the Cycles execution detail page at the run level, all you need to do is click on the Cycles option in the top bar menu and select the desired cycle. On the Cycle Execution detail page, click on the carat icon (>) for the case where you want to generate an email notification. Click on the Comments icon at the Run level. Once you click on the Comments icon, you will find a sidebar popup where you need to enter the comments in the given space and tag the users by using the “@” symbol. Finally, click on the Post button. 

Cycles Execution Detail Page (at Step Level)

To generate email notifications from the Cycles execution detail page at the step level, click on the Cycles option in the top bar menu and select the desired cycle. On the Cycle Execution detail page, click on the carat icon (>) for the case where you want to generate an email notification. Click on the Comments icon at the Step level. Once you click on the Comments icon, you will find a sidebar popup where you need to enter the comments in the given space and tag the users by using the “@” symbol. Finally, click on the Post button. 

Who will Receive Email Notifications?

AIO Tests allows users to select the users to whom the email notification will be sent. 

  • User1 (Green)→ Indicates users can receive email notifications for new or edited comments in which they were tagged.

  • User2 (Red)→ Indicates users cannot receive email notifications due to their email preferences (this can be due to AIO email preferences or if they haven’t made their email address visible to all in Jira account preferences).

  • User3 (Blue)→ Indicates users can only receive email notifications when they are mentioned for the first time. If the comment is later edited, then they will not receive a notification. This is controlled by their AIO email preferences. To learn more about AIO email preferences, click here. To notify them again, it is recommended to remove them, save the comments and then re-mention them.
