AIO Tests allows users to setup access regarding who can see AIO Tests as an app in Jira, whether non-Admin users can enable AIO Tests or not and also how to customize settings for each project.

Group-Based Access to AIO Tests

If your organization has different teams using Jira for their own purposes then not all teams would require access to a Test Management system. In fact, it might make it confusing for them to see a testing app in their projects or along with apps that they do need to function.

AIO Tests provides a way to control access to AIO Tests app via Jira User Groups.

  • This action can only be done by a Jira Admin

  • By default, all users in all existing Jira Groups have access to AIO Tests

  • If a new Jira user group is created after AIO Tests has been installed, then access will need to be added to the newly created group using the steps below

Steps to Manage Group-Based Access 

Step 1: To create group-based access to AIO Tests, click on the Apps option in the top bar menu and select the Manage your apps.

Step 2: Click on the Access option in the sidebar menu.

Step 3: On the Access page, initially ‘All Groups’ is listed. Click on the Edit button to select groups that should have access to AIO Tests.

By default, all Jira groups have access to AIO Tests.

Step 4: Enter the group name to whom you want to provide access to the AIO Tests App into the Selected Groups field.

Step 5: Finally, click on the Save button. 

  • If the access is removed, users in that group will not be able to see AIO Tests anywhere in Jira. It will be hidden from the project left menu as well as from the top Apps menu.

  • If a particular user belongs to multiple groups then access will need to be removed from all the groups to ensure they don’t see AIO Tests. However, if even a single group to which they belong has access to AIO Tests, then the user will continue to see AIO Tests.

Control Access for Non-Admin Users

AIO Tests allows admins to control access to the test management tool for non-admin users for a specific project with ease. AIO Tests provides a way to control access to the AIO Tests app via Jira User Groups.

Steps to Control Access for Non-Admin Users

Step 1: To control access to the AIO Tests for non-admin users, all you need to do is click on the Apps option in the top bar menu and select the Manage your apps option from the dropdown menu.

  • Jira Admins can control access for enabling AIO Tests for non-admin users. By default, non-admins can enable AIO Tests.

  • Project Admins can always enable AIO Tests.

Step 2: Click on the Settings option in the sidebar menu.

On the Settings page, you can uncheck the box against a project for which non-admin users should not be allowed to enable AIO Tests.

  • By default, non-admin users can also enable AIO Tests for a project. 

Once you uncheck the box against a project for non-Admin users, they will not be able to enable the AIO Tests for the selected project.

AIO Tests enables admins to set up their own token usage limit for the AIO Tests AI Assistant once they have exhausted their monthly token allowance. To do this, users can create an account on OpenAI and generate an API key, allowing them to pay directly to OpenAI for additional tokens.

Project Settings

The project settings section allows users to customize the AIO Tests app to suit their requirements and personalize the test management tool based on the process in their organization. For more information on Project Settings, click here.

Copy Project Settings

AIO Tests allows you to copy the project level settings from a project to multiple other projects with the click of a button. Whether you want to import some specific project setting of another project to your current project or want to copy all the project settings from a specific project to other projects, the test management tool lets you do it effortlessly. 

Steps to Copy Project Settings to Multiple Projects

Step 1: To copy project settings, simply click on the Apps option in the top bar menu and select the Manage your apps option. 

Step 2: Click on the Copy Project Settings option in the sidebar menu.

Step 3: On the Copy Project Settings page, enter the source project into the Source Project field. 

Users can also choose the source project from the Source Project dropdown list.

Step 4: Enter the destination project(s) into the Destination Projects field. 

  • Users can also choose the destination projects from the Destination Projects dropdown list.

  • Users also have the option to choose the settings that they want to copy. 

  • By default, all project level settings are selected. 

  • While copying settings, if the destination project has any pre-existing setup of Case Types, Priorities, Statuses or Custom fields then the settings from source project will be merged into the existing setup barring any conflicts that will be detailed out before the copy takes place.

Step 5: Click on the Next button.

Step 6: Once you click on the Next button, scenarios with Warnings/Errors will be displayed on the screen, if any. Click on the Submit button to start the process.

Step 7: Click on the Show Results button to see the detailed information about the copied Project Settings along with the status.

Ability to View Draft Cases of Other Users

AIO Tests allows Jira admins, Project admins, and AIO admins to view draft cases of other users effortlessly. Whether you want to view your draft cases or want to view the draft cases of other users, the test management tool lets you do it by following a simple steps.

Step 1: To view draft cases, simply click on the Cases option in the top bar menu.

Step 2: On the Cases page, toggle on the Include cases visible to case owner only button.

Storage Manager

AIO Tests allows the Jira admins to view the storage used by all the Jira projects where AIO Tests is enabled by the click of a button. Whether you want to keep track of the storage of the attached files in AIO Tests or want to view the size of all the attached files in a specific project, the test management tool lets you do it with ease. 

Steps to View Storage Utilization by Project

Step 1: To view storage utilization by project, simply click on the Apps option in the top bar menu and select the Manage your apps option.

Step 2: Click on the Storage Manager option in the sidebar menu.

On the Storage Manager page, you will be able to view the below details:

Storage Manager- Overview

The top section of the storage manager gives a quick glimpse of the storage used across all Jira projects where AIO is enabled, the storage used by each project, the storage allocated, and the maximum attachment limit.

Storage Used by Jira Projects

  • Key: This column shows the project key.

  • Name: This column displays the name of the project.

  • Storage Used: This column shows the storage used by the project. 

Steps to View Attachments for a Project

Step 1: To view attachments for a project, all you need to do is click on the storage used against the project for which you want to view the attached files. 

Once you click it, you will be able to view the below details:

  • Name: This column shows the attachment file name. By clicking on the Name, you can view the attached file.

  • Size: This column shows the size of the attachment file.

  • Created Date: It shows the date on which the file is attached to the Case and Run. 

  • Type: The type column displays the type of the attachment files. 

  • Users can click on the Created drop-down and select the desired time period to view the attachment files stored across the project created before/after/between a specific date(s). 

  • Users can sort the attachment files by Size and/or Created Date by simply clicking on the header of the column. 

Steps to Navigate to the Attachment File Location

Step 1: To navigate to the attachment file location, click on the Open in New Window icon for the attachment file that you want to open in a new window.

Once you click on the Open in New Window icon, you will be redirected to the place where the file is located. 

Users can also delete the attached file by clicking on the Delete button.
