Saving Reports

AIO Tests allows users to save the reports with the click of a button. The test management tool not only lets you save the reports, but also allows you to edit, rename, copy, share and delete the saved reports.

Steps to Save a Report

Step 1: To save a report, simply click on the Save button on the generated report.

Step 2: Once you click on the Save button, the Save Report modal window will be displayed on the screen. Enter the name of the saved report into the Provide name for the report field. Finally, click on the Save button. 

Users can also enter tags for the saved report into the Tags field. 

The originally generated report is re-generated with the new name that you have given while saving the report. The name of the report is shown on the top of the new re-generated report. 

  • Users can also view the report type, along with the owner's name (the user who saved the report) and the date the report was generated, below the report's name.

  • If the user edits the input, the report will need to be re-saved for the new input to be part of the saved report. The user will be prompted to save changes if they navigate away without saving. 

Steps to Access Saved Reports

Step 1: To access the saved reports, all you need to do is click on the My Saved Reports option in the sidebar menu.

Step 2: Once you click on the My Saved Reports option, all saved reports will be displayed on the screen. Click on the Chevron icon (>) for the report that you want to access. 

Users can also edit, rename, copy, share, copy report URL, and delete the saved report by clicking on the Vertical Ellipsis button for the desired saved report.

Steps to Edit Saved Reports

Step 1: To edit the saved report, simply click on the My Saved Reports option in the sidebar menu.

Step 2: Click on the Vertical ellipsis icon for the report that you want to edit and select the Edit option from the dropdown menu. Edit the input window as per your requirements and click on the Generate button. 

Step 2: Finally, click on the Save button. 

Steps to Rename Saved Reports

Step 1: To rename the saved report, click on the My Saved Reports option in the sidebar menu.

Step 2: Click on the Vertical ellipsis icon for the report that you want to rename and select the Rename option from the dropdown menu. 

Step 3: Once you click on the Rename option, the Rename report modal window will be displayed on the screen. Enter the new name for the saved report into the Provide new name for the report field. Finally, click on the Rename button. 

Steps to Copy Saved Reports

Step 1: To copy the saved report, click on the My Saved Reports option in the sidebar menu.

Step 2: Click on the Vertical ellipsis button for the report that you want to copy and select the Copy option from the dropdown menu. 

Step 3: Once you click on the Copy option, the Copy report modal window will be displayed on the screen. Enter the new name for the copy of the report into the Provide new name for copy of the report field. Finally, click on the Copy button. 

Steps to Delete Saved Reports

Step 1: To delete a saved report, click on the My Saved Reports option in the sidebar menu.

Step 2: Click on the Vertical ellipsis button for the report that you want to delete and select the Delete option from the dropdown menu. 

Step 3: Once you click on the Delete option, the Delete report modal window will be displayed on the screen for further confirmation of your action. Click on the Delete button. 

Steps to Share Saved Reports with the Entire Team 

Step 1: To share a saved report, click on the My Saved Reports option in the sidebar menu.

Step 2: Click on the Vertical ellipsis icon for the report that you want to share and select the Share option from the dropdown menu. 

Step 3: Once you click on the Share option, the Share report modal window will be displayed on the screen for further confirmation of your action. Click on the Share button. 

Once you click on the Share button, the report will be available in the “Shared Reports” area under the Reports tab.

Steps to Share Saved Reports URL with Specific Team Members

Step 1: To share the saved reports URL, click on the My Saved Reports option in the sidebar menu.

Step 2: Click on the Vertical ellipsis icon for the report that you want to share via URL and select the Copy Report URL option from the dropdown menu. 

Once you click on the Copy Report URL option, a message will be displayed on the screen saying, link copied to the clipboard. The users can then copy the link in an email or chat to share it with specific people.

Actions for Shared Reports

The users with whom the report is shared can perform different actions: 

  • Save: Users can save the report to their ‘My saved reports’ section (they will need to provide a name). This will create a copy of the shared report and the shared user will become the owner. The report shared via the link will still have the original user as the owner.

  • Edit: Users can edit the report for their use and then save it (this will not change the original report).

  • Export: Users can export the report to Excel and PDF.

  • Share: Users can share the report with more users.

  • Subscribe: Users can schedule an email to send a report.

  • Refresh: Users can refresh the report to view dynamic data without entering the input criteria again.

Below is an example of a report which is saved and shared by a logged-in user. It shows the owner's name, type of report and when it was generated. If the logged-in user wants, they can save this report in their own “Saved Reports” section (this will create a copy of the report).

If the owner of the report changes the input criteria, the shared URL will generate the report based on new input criteria but the saved report will continue to work on the original input criteria.

The functionality of saving reports is available for all the reports except for the Project Metrics report.
