Shared Reports

Users can share created/saved reports publicly or share saved reports with specific people via URL.

Sharing a Report Publicly

To share a report publicly, users can click on the Share button as shown below

 

New/Unsaved Reports

When users click on Share button on a new report, users will get an option to save the report and share it. Users need to give the report a name and click on “Save & Share”

  • The report will be saved under “Saved Reports” along with “Shared Reports” for the owner

  • For all other members of the project, the report will appear under “Shared Reports”

 

Saved Reports

Users can click on Share on a saved report either from My saved reports section or from the generated report.

 

 

Clicking on ‘Share’ from both places will display a confirmation message; asking user if they want to make the report accessible to all team members.

 

  • Owners can edit the saved/shared reports and for all team members the shared report will show the updated content

  • Owners can rename, copy, delete and stop sharing the report

  • Team members can edit a shared report and run it but it will not change the input of the shared report

  • Team members can edit a shared report and on sharing it, they will get the option to save & share the report with the edited input

 

Accessing Publicly Shared Reports

Reports that are shared with all team members appear in the Shared Reports section for all users including the owner. For owner, it also appears in My saved reports section.

Shared Reports Section (For Owners & Team Members)

  • Users can search for reports using the search button on top left of the list

  • Users can refresh the page to see if someone recently shared a report

  • Users can click on the “>” icon to run the shared report

  • Users can edit the input and run the report. This will not impact the shared report for any other user. If the team member wishes to share the report with updated input, they will need to first save it and then share it

  • Users can create a copy of the report for themselves. They will be prompted to provide a name and the copied report will be available under their “My saved reports” section

  • Users can copy the URL of the report to share it with other users

 

My Saved Reports section (for Owners)

For owners, the shared reports appear in My Saved reports section as well and are indicated by the share symbol (highlighted below).

  • Owners can search for a report using the search icon

  • Owners can filter their reports to see All, Saved & Shared reports and take necessary actions

Stop Sharing Publicly

Once the report is shared with all team members and the owner decides that a report is no longer needed to be shared; then the owner can stop the sharing.

The option to stop the public sharing is available from Shared Reports, My Saved Reports and the generated report.

 

The user gets a confirmation dialog as shown below. Clicking on Stop Share will remove the shared report from all team members “Shared Reports” section.

 

 

Share with Specific Users via URL

If the owner of the report doesn’t want to share the report publicly with all team members, they can share the URL of a saved report with specific users.

Owners will take the below steps to achieve this:

  1. Create a report

  2. Save the report

  3. Click on Copy Report URL from My Saved Reports section or from the generated report. The report URL is copied to the clipboard and can be shared with specific users
